GDPR and privacy rights

1. When GDPR may apply
TCVoiceAI sells subscription access globally. If you are located in the European Economic Area, the United Kingdom, or another region with similar privacy laws, your personal data may be protected by GDPR, UK GDPR, or local privacy rules when we offer the service to you or process your data to provide the service.
This page summarizes how we handle those requests. It should be read together with the Privacy Policy.
2. Data categories
We process account identity data, Google sign-in data, subscription and Paddle billing references, quota and usage metadata, support messages, contact messages, referral records, app feedback and reviews, error diagnostics, and security logs. Translation, optional suggested replies, and user-requested AI conversation output may temporarily process recognized speech text, language direction, short context, matching custom vocabulary, transcript snippets, prompt instructions, translated output, or generated output only to return the requested result. Same-language transcription does not send translation requests; when Suggested replies are enabled, completed partner turns may instead be sent through a separate suggestion-routing request.
Research-routed suggestions may optionally let OpenAI use Web Search when current public information could improve the reply. If search is used, source links are shown separately in the app; they are not inserted into the suggested reply or stored by TCVoiceAI.
Conversation Profile names, contact labels, the complete profile library, and per-profile History are stored locally by the macOS app rather than collected in the TCVoiceAI server database. While a session is active, vocabulary terms may be handled by Apple Speech Recognition as contextual hints, and only matching term pairs needed for translation are processed with the corresponding server request.
Conversation Profiles, per-profile History, exported transcript files, and exported settings files are controlled by the app on your device rather than stored in the TCVoiceAI server database.
If Google Analytics is enabled and you consent, Google may process your IP address to derive an approximate region, along with page and referrer paths without query strings, page titles, browser and device information, first-party analytics identifiers, and basic visit, interaction, and session statistics. We do not attach TCVoiceAI account details or conversation content to analytics events.
The service is designed not to store raw audio, transcript text, translation text, prompt context, generated replies, or generated summaries on the server after each request completes.

4. Your rights
Where GDPR or similar law applies, you may request access to your personal data, correction of inaccurate data, deletion of data, restriction of processing, portability of data you provided, objection to processing based on legitimate interests, withdrawal of consent, and information about automated decision-making.
These rights are not absolute. We may retain or continue processing information when needed for security, fraud prevention, billing, tax, legal claims, dispute resolution, or compliance obligations. We may also refuse or narrow requests that are unfounded, excessive, impossible to verify, or conflict with another person's rights.
5. How to make a request
Email support@tcvoiceai.com from the email address connected to your account. Include the right you want to exercise and enough context for us to find your account. For security, we may ask you to verify your identity before disclosing, deleting, or changing account data.
For requests covered by GDPR or UK GDPR, we aim to respond within one month after verifying the request, unless the law allows an extension for complex or multiple requests.
6. Cookies
The website uses essential cookies for sign-in, security, checkout, referral capture, and remembering your cookie choice. If Google Analytics is enabled, its tag and analytics cookies remain blocked until you choose Allow analytics. Refusing analytics does not prevent access to website features.
You can withdraw consent through Cookie settings in the footer. This prevents the Google Analytics tag from loading on later page views and attempts to remove its first-party cookies. See the Privacy Policy cookie section for the data, purpose, and retention details.
7. Complaints
Please contact us first so we can try to resolve your concern. If GDPR or UK GDPR applies, you may also have the right to lodge a complaint with your local data protection authority.
